For Any and All Reunion Announcements
(part 3)


Because of space limitations some information was left out of the two former Reunion Tips on announcing “Reunions – Existing”--- 3-26-09, “New”--- 4-16-09. Never fear there is time to recover. Hopefully, at least, one announcement has been sent. But DO NOT think one letter or e-mail announcement is enough!

Look at this as a marketing campaign. Most profession direct mail marketers would not think of less than a THREE STEP CAMPAIGN. That means no less than three specific contacts. Better that all announcements not be by the same medium.

Of course, recognize your audience. If most prefer snail mail, make most contacts by mail – if email use it! But also mix in a different medium to get extra attention.

What do you say in the 3 or more contacts?

It depends somewhat upon your family and the status of the reunion. Some things however are quite universal. For example:

 

First Contact: This should ideally be 8 to 12 months in advance. Even if the date is known an announcement, by this year’s leaders saying “Be sure to put this date on your calendar.” Also include an upbeat message about some great activity of last year. Discus the challenge of matching that, but plan to have an even better reunion this year. If you have a celebratory event, mention it.

Second Contact: This communication should continue the upbeat message. It’s time to mention some specific activity that will excite the base. Ask the group to talk to others, encourage others to come together.

Third Contact: It is time for a reminder for those who are expected to bring items such as games, bikes, comfort foods, family stories, musical instruments or whatever your crowd will enjoy. Always keep the message upbeat and mention the date.

Fourth Contact: Consider a later letter (2 to 3 weeks) prior to the “Big Date”.
This is a good time to repeat a special person attending, a celebration of an anniversary or similar event. Assure all of a GREAT TIME!

These are general but workable suggestions. Adapt to your own crowd, but consider this as a marketing campaign without the exaggeration or hype. Remember marketing is worthless without a good produce. Make sure your product is good. Show some excitement of new activities while continuing the ones that have been favorites.
